1. The marketing website

The pilot application and waitlist forms collect the details you enter (name, email, role, state, monthly transaction volume, current software, brokerage, message). They are used only to reply to you and to decide pilot fit. We do not sell or share them for advertising. If email delivery is not configured on a deployment, the form tells you so and nothing is stored.

2. The public demo

The demo at /demo uses fictional people, properties, and messages. It stores nothing on our servers. Interactions stay in your browser session and are discarded when you leave.

3. The product

What we process

• Account data for agents, team confirmers, and administrators: name, work email, phone, license state and number, brokerage affiliation.
• Transaction records the Customer uploads or enters: contracts, disclosures, checklists, parties' names and contact details, deadlines and their history.
• Messages: inbound texts from agents, drafted and confirmed outbound messages with their versions, delivery and reply events, and consent records for recipients.

What we do not collect

Government identification numbers, bank or payment account numbers, or wire instructions. The assistant does not accept them by text and does not deliver earnest-money instructions.

Sending identity and disclosure

Recipient-facing messages are sent under the agent's name and brokerage affiliation and include a disclosure that an AI-assisted clerical tool was used. Recipients may reply STOP at any time; opted-out numbers are suppressed and the opt-out is recorded.

Retention and deletion

Transaction records are retained according to the Customer's policy and applicable state record-keeping rules, then deleted on the Customer's instruction. Consent and opt-out records are retained as long as needed to honor them.

Model use

We do not train models on Customer transaction data. Extraction of dates and document types is performed to organize the Customer's own file and is labeled proposed until verified.

4. Service providers

We use infrastructure providers for hosting, email delivery, and SMS delivery under written agreements that restrict use of data to providing the service.

5. Your choices

Customers may request export or deletion of their records. Recipients may opt out of messages by replying STOP. Questions: hello@neocloses.com.
